What is a retention policy?
The safety net behind your backup

A retention policy defines how long Softyz keeps every version of every file you've ever backed up. It answers the question: "How far back in time can I go to restore something?"

Every time you save a file, Softyz creates a new version of that file in your backup. Your retention window determines how many of those versions we keep — and for how long. Files outside the retention window are permanently deleted from your backup storage.

Think of it as a rolling safety window. On the Personal plan with a 30-day window, you can restore any version of any file from the past 30 days. On the Business plan, that window extends to 180 days — protecting you from everything from accidental deletions to slow-burn ransomware attacks.

Retention window - how it works
Day 0 - File created
Softyz backs up the file. Version 1 is stored securely in the cloud.
Day 14 - File modified
You edit the file. Version 2 is saved. Both V1 and V2 are retained.
Day 22 - File deleted accidentally
You delete the file. Both versions still exist in your Softyz backup.
Day 25 - You restore V1
Open Web Manager → Version History click "Restore". Done in 30 seconds.

What happens at each stage of retention

Here is a clear breakdown of what Softyz retains, and what it removes, at each point in your retention lifecycle — from the moment a file is backed up to after the window expires.

The moment you save a file, Softyz creates Version 1 in the cloud. This version is immutable it can never be modified or overwritten. The retention clock starts from this moment.

Enterprise customers can configure retention windows of 1 year, 3 years, 5 years, or 7+ years to meet regulatory requirements. GDPR, HIPAA, financial services (SOX), and healthcare compliance often require data to be retained for specific multi-year periods — Softyz supports all of them.

Once a version falls outside your retention window, it is permanently and irreversibly deleted from Softyz servers ensuring we only hold data you have consented to retain. You receive email notifications 7 days before any data is scheduled for deletion so you can act if needed.

Grace period your data is always safe after cancellation

If you cancel your Softyz plan, we never immediately delete your data. All backed-up files are retained for a 90-day grace period, giving you ample time to download, export, or reactivate your account. After 90 days without reactivation, we send a final deletion notice before permanently removing your data.

Your questions about retention, answered clearly

It means Softyz keeps every saved version of every backed-up file for up to 30 days. If you edited a document 15 times over the past month, all 15 versions are available to restore. If you deleted a file 3 weeks ago, it is still recoverable. Once a version is older than 30 days, it is permanently deleted from our servers each night.
The retention window counts from the date each version was created (backed up). So if a file version was created on January 1st and your retention window is 30 days, that specific version is retained until January 31st — regardless of whether you deleted the file, modified it, or left it unchanged. Deleted files follow the same rule: the versions that existed within your retention window are all still recoverable.
Yes, if you are on the Business plan. Business plan customers can purchase an Extended Retention add-on that extends the version history window up to 365 days. Enterprise customers can configure any retention period — from 1 year to 7+ years — through the policy builder, with no fixed upper limit. Your backed-up data is never immediately deleted when you cancel. All plans include a 90-day post-cancellation grace period during which your data remains safely stored and accessible. You can download, export, or restore your files at any time during this period. If your account is not reactivated within 90 days, Softyz sends a final deletion warning before permanently removing your data. Enterprise cancellations are handled under the terms of your service agreement and typically include a negotiated grace period.
Yes — this is exactly what Softyz’s immutable backup architecture is designed for. All backup versions are stored as immutable copies that cannot be modified, encrypted, or deleted by software running on your device. If ransomware encrypts your files today, you can restore any version from any point within your retention window — including versions from days, weeks, or months before the attack — without any impact to the quality or completeness of the restore.
Softyz sends you an email notification 7 days before any significant batch of data is scheduled for deletion due to the retention window expiring. For accounts approaching the post-cancellation deletion date, we send notifications at 60 days, 30 days, 14 days, and 7 days before permanent deletion. You can also view all upcoming retention expirations from Account → Storage → Retention schedule in your dashboard.
Yes — your retention policy applies uniformly to all file types and all devices connected to your Softyz account. Every version of every file, from every device, is retained for the full duration of your plan’s retention window. Enterprise customers can configure different retention rules for different folders, file types, or connected devices if they need more granular control.
Yes — legal hold is available on Enterprise plans. A legal hold suspends the normal retention policy for specific files, folders, or users, preventing any deletion regardless of the standard retention window. This is commonly used during litigation, regulatory investigations, or audit proceedings. Legal hold can be activated and managed by account administrators from the Enterprise dashboard or via the API.
